Recording a Cash Donation as a Gift

For recording a monetary donation made prior to your event (of after your event by someone that didn't attend).

This is one of two methods for recording cash donations outside of your event.  Entering Cash Donation as a Gift can be used anytime the donation payment was processed outside of the software (eg. cash, check, external credit card transaction).  If you need to process a credit card transaction, use Creating an Internal Order instead.

Note:  the two methods for entering cash donations process the transactions differently:

Entering as Gift Item:

  • requires donor record,
  • transaction processes donation the same as an item donation,
  • revenue appears in sales reports as non-order amounts,
  • payments cannot be processed and are not recorded.
  • donor receipt can be issued and
  • software considers the cash donor as a "donor who donated"

Creating an Internal Order:

  • requires a user OR donor record,
  • transaction processes donation as a purchase
  • revenue appears in sales reports
  • payments can be processed and are recorded
  • sales receipt can be issued
  • software considers the cash donor as a "buyer"  (if order is created with a Donor record, they will appear as a donor, but not as a donor who donated).

To record a cash donation, create a "Gift" item:

Go to:  Catalog > Add Item

1. Create Donor Record if necessary, then select correct Donor.

2. Enter a name that will look appropriate if put in a mail merge Thank You letter.

3. Type = Gift.   Note that gift type is not available to sell at any venue, and will not appear in the web catalog.

4.  Enter the amount of the donation, then Save the page. 

5.  Once the Gift item has been created, you can print or email a donor receipt from the Donor page.
