Managing Migrated Items in the Catalog

Items can be migrated (copied) from one site to another - potentially saving data entry time for repeat donations.   The downside to migrating past items is that both real and potential donations will display in the grid view of your catalog page.   Here are tools for discerning between the two:

Go to Catalog - Grid View

Three fields are automatically edited to reflect that migrated items are only potential donations:

  • 1.  Quantity is edited to 0
  • 2.  Status is edited to pending
  • 3.  They are marked as Not Visible to Public, so they will not appear in the catalog.

4.  Optional:  You can also bulk edit the Location to reflect that the item was migrated.

Go to Catalog > Edit Item

Once procurement is closed, delete migrated items that were not donated again:

Go to Catalog - Grid View

1.  Sort data by Quantity by clicking on the column header.

2.  Select items with quantity = 0 and location = migrated.

3.  Click on Bulk Action > Delete Items.

 

Deleting Migrated items with 0 quantity prior to your event will:

  • reduce clutter on your item page and minimize confusion for your auction night team
  • allow you to accurately generate thank you letters for donors who donated this year and to migrate only donors who donated items for your next event.
