Setting Up Self Check-In

You can invite guests to check themselves in online prior to your event by sending them an email invitation with instructions and a link to their ticket account.    Following the link will allow them to enter/update their contact information, vault a credit card for the event and print out their bidder number (optional) and any other materials you provide.   You can view the check in progress from the Tickets page and send additional prompts/invites if desired.

Go to Admin > Site Settings >  Gala Auction > Self Check-in

Note:  Default language/settings allow this feature to be functional after steps #1 and #3 are completed.  We recommend turning the feature on and adding your notification address only - then previewing the process by inviting yourself to check-in, retrieving the email and following the instructions.  Previewing the process is an easy way to see where the editable elements appear and to follow the instructions within the default text in context.

1.  Click this box to turn on Self Check-in.  Once the feature is enabled, "Invite Guests to Self Check-in" will display on the Bulk Actions dropdown menu on the Tickets page.

2.  Required:  specify the email address to receive notices when a guest completes the Self Check-in process.

3.  Uncheck this box only if you will not be vaulting credit cards at your event.

4.  Optional:  Insert any text you want to display at the top of the Check-In/Registration page

5.  Optional:  Insert any text you want to display at the top of the Check-In Confirmation page.

6.  The check-in link provides access to personal information, so should only provide access for the period needed.   Adjust the expiration time to keep the link viable from the time you send the invitation until your event begins, but no longer.

7.  Check this box to include a pdf file of their bid number in the confirmation screen and email.

8.  Check the box to include the guest's favorites list.

9.  Add/upload any files/materials you would like your guests to have before the event. Links will be provided for files on the Confirmation message screen.

10.  Click to edit text of email Invitation to Self Check-In.

11.  Click to edit text of email confirming successful Self Check-in.

12.  Save.
