Introduction to and Previewing the Self Check-Out Process

This video provides a quick overview of how the self check-in and self check-out features work.

What you should know about Self Check-out:

1.  Self Check-out is another tool/option to streamline the check-out process.  It does NOT replace your regular check-out process.   The self check-out OPTION is most likely to be used by guests that:

  • love their smartphones and are comfortable navigating websites and making transactions on the small screen.
  • have vaulted a credit card (so they can click on a Pay Now button rather than enter their credit card info).
  • don't need to collect any purchases from will call.  Self check-out is ideal for guests that just want to pay for raffle tickets, drinks, a paddle raise and/or signup parties. . . from their table. . .while finishing their wine or coffee or conversation. . .

You will still need to offer regular check-out station(s) for:

  • guests who want to pay by cash or check, or who have fat fingers and/or don't want to enter their credit card info on their phone.
  • guests who have questions or issues with the items in their cart.
  • guests who didn't bring a smartphone, don't have access to the email address the invitation was sent to on their phone and/or just prefer to check-out in person.

2.  When you use the Self Check-out option - all you are doing is sending an email invitation to your guests with a link which they can use to EASILY access their account, review their cart and submit a credit card payment.    No one is obligated to use it - receiving the email does not affect their ability to check-out as usual.  Only guests with open (unpaid orders) will receive an invitation, and you have the ability to select which guests to send (or resend) the email invitations to.  

3.  If you use Self Check-out - you will need to make an announcement during your event to let them know about the option to check-out on their phones and how to pick up their items if they do so.   For instance:

"Thank you so much for coming tonight - and for your continued  support for (our cause).    In just a few moments, we will be sending emails invitations that will give you the option of checking out on your smartphones!  When you receive the email, click on the link provided to review your purchases and to pay by credit card.  Of course, our regular check-out stations are also available and will be opening in xx minutes.

Those of you who check-out on your smartphones can proceed directly to the Will Call line if you have items or gift certificates to pick up."

4.  You may need to adjust your Will Call system.   You can either set up a laptop/printer at the will call station to print a duplicate receipt to pick items from, or your pickers can pick the items while viewing the guest's purchases in the Will Call Report on a tablet.

5.  Self Check-out emails can also be triggered after your event - and sent to guests that did not vault a card or check-out so they can review their purchases and enter their credit card payment online.

6.  You can see use the Customize button on the Order page to add the Check-out Venue to the page so you can see which orders were paid via self check-out.

1.  If a user account has multiple orders that have a balance due and/or the guest did not create a password during online ticket purchase or online auction signup, the invite link will bring them to this view.      Orders that have a balance due will have a yellow Pay Now button.

2.  Note that completing the Account Set-up is OPTIONAL to allow future access to account without the invitation link.   Guests can ignore this and proceed directly to Pay Now.  Clicking on Pay Now for a selected order will display the same order detail screen shown ibelow.
