Editing Existing Bidder Numbers
Changing the range of bidder numbers and setting or moving individual bid numbers can be done from a single place that requires a password for extra security.
Note: A bid number cannot be changed as part of a complete reset of bid numbers after the guest is checked in. The system will allow you to reset a checked in guest's bidder number as an individual edit - but USE EXTREME CAUTION in doing so during your event. The software will not allow you to reassign a number if the guest has an order - but if the guest has placed bids with the original number that later get entered as a sale, you'll have a bigger mess on your hands.
You can also "undo" check-in (if you are certain the guest has not placed any bids yet with the existing bidder number): Tickets > Edit Guest > Uncheck the "Checked in" box > Submit changes.
To reassign all bidder numbers:
Go to Admin > Site Settings > Live Auction > Bidder Numbers - Bulk or Bidder Numbers - Edit
Note: selecting either Bulk or Edit menu options brings you to this same password page (which will reference the Edit menu choice). You will be taken to the correct form after confirming your password.
To establish the number range and exceptions for all Bidder Numbers and the preferred sequence of assignments:
(Only Chair role can bulk reassign bidder numbers .)
1. Shortcut to switch to individual edit form
2. Set 1st/minimum bid number to be assigned.
3. Establish the order guests will be assigned the numbers choosing from alphabetical by Last Name, alphabetical by First Name, Order Entered, Seat Assignment, or Table.
4. Secondary sorting of guest order using the same categories.
5. Skip specific numbers. (Used most often where heirloom paddles are being used and some numbers were not returned and reproducing a match is prohibitively expensive.)
6. Skip Digits. Numbers listed will not be used anywhere in sequence. Used where there is concern about mixing up a 1 with a 7, a 6 with a 9 etc.
7. Click on Re/Assign ALL Bidder Numbers button and guest numbers will change.
To edit an individual bidder number:
Go To Admin > Site Settings > Live Auction > Bidder Numbers - Edit:
1. Click on the change button to edit a guest's number.
2. If the guest has checked in, attempting to edit the bidder number will generate a warning message. Do not proceed unless you are certain the guest has not used the bidder number for any bids, drinks etc.
3. All ticketed guests are issued temporary bidder numbers and can be edited here if you are using the preassigned setting. If your software is set up to assign bidder numbers at check-in, these temporary numbers will be display as muted gray and can only be edited/assigned from the check-in screen.
