Learning the Tools Shared by all Spreadsheet Pages

Knowing and seeing the data for each data page is much easier if you know a few data page tools.

The catalog page is used below to illustrate, but the format and tools are identical for the User, Donor, Ticket, Order spreadsheet pages.  Of course, the search and filter terms vary from page to page.

The Catalog page is used here but the tools are available on all spreadsheet pages.

1. Add ________  (New Record)

  Where you initiate adding a new Record (Exception is the Order page because new orders are generated by sales transactions.)

2. Search for Name(s) or Number.

   Data that matches the search will start to appear text is typed - select the specific record from the list presented.

3. Filter the data by a variable chosen from a dropdown menu.

4. Advanced Search  Data can be filtered and/or searched in more specific ways depending on the specific page.

5. Customize View  Choose the data/columns you want to see (see below).

6. Save as CSV  Download the list you see to a spreadsheet  to print, export or for more manipulation/analysis.

7. Print  To Print page (use Show All to print all records).  Note:  formatting is dictated by your browser.    If you want to change the formatting,  you'll need to use the Save as CSV button and adjust the format within Excel or Pages.

8.  Show All   Displays all records.

9.  Box Selects Row to be included for Bulk Actions to multiple records.  Top box selects/unselects All records. Bulk Action dropdown menu offers options for editing multiple records at the same time.

10. Icons to Edit/Manage - Delete - Clone the specific record.

11. Column Headers  Click on header to sort content by that column. (The triangle shows the column that was sorted.)  Clicking again toggles between ascending/descending sorts.

Note:  The customize screen view selections you make will only affect the display on your device.   Your selections are cached by the browser you are using and will clear each time your browser clears the cache.  This varies, but the default settings for most browsers will retain your selections until you log out.
