Transitioning to a Gala Event

A checklist:

1.  Make sure your online closing times allow enough time to print bid sheets (with the final high online bid) for the gala.

2.  Doublecheck your settings to ensure the desired items will transfer instead of being awarded to the high bidder at closing:

  • Each item is marked to sell at both Gala and Online Auctions.
  • Transfer bidding is enabled.
  • You have specified the desired name format to display on the bid sheets.

3.  Online Bidders that are attending your Gala may ask to pay for all of their purchases at the Gala event:

  • Online orders must be paid for online, they will not appear on the check-out screen at the gala event.
  • The Self Check-Out feature will send emails to all guests with open Gala orders only.  However, when a guest signs into their account (using the link provided in the self check-out, any of the online auction emails or from your event site) their My Account page will display all orders (online, ticket, gala etc) and they will be able to pay for any/all online.

In summary:  

  • Online orders must be paid for online.  
  • Gala orders can be paid for at check-out or online (by logging into My Account)
  • Both orders can be paid for by managing the order from the Orders page (by someone on your staff/team)

4.  Plan how you will deliver items won at the online auction.  Will they be available for pick-up at the Gala?

5.  If an item transferred from the online to gala event, but did not receive a higher bid at the gala:  Edit the item to uncheck the For Sale at Gala box and save.  When Automatic Close-out is enabled, the item will be awarded to the high online bidder and a notification email sent.
